I'm in Prague at the moment, and I've had the opportunity to discuss with
Lucie Dolezalova (cc to this message), my local colleague from Charles U.
who would be hosting and supervising the organisation. We are actually
using the room that could be made available for the Council meeting. Here
are two pictures I have just taken, so you can judge the space. There is
working Wifi and a videoprojector. There is a very large "coffee-break"
space just outside the meeting room (photo too), which I thought you could
use as an extra space for subgroup meetings, aside for actual coffee breaks
(you'd just have to drag some chairs out). It's in the very center of
Prague, at the Centre for Medieval Studies (CMS), Jilska 1 (see map here:
http://goo.gl/IFjdC9). In my own experience, this is a very nice and
convenient meeting room.
If it's not too much of an inconvenience, I would be in favour of starting
the Council meeting early, on the Sunday, so we can organise a public day
of study without loosing too many Council members to XML Prague.
According to Lucie, having your meeting on the Sunday would actually be
possible, even though the Centre is not normally working on Sundays, She
would ask a technician to be present, in case you would run in any sort of
issue, especially regarding Internet access or other IT thing.
Practically, this means that we would have to budget an extra to pay this
technician coming to work on a Sunday. I think something like 200 EUR would
cover this. Keeping in mind that the room would be lent to the Council for
free, do you think this is OK?
Regarding coffee / lunch breaks, it's possible to arrange catering in the
space just in front of the room, if you wish to save time (maybe it would
not be possible on the Sunday though, I need to check). Alternatively,
there is a wealth of choices for lunch just around the CMS, since this is
literally the heart of touristic Prague. Catering as well as restaurants
are rather inexpensive.
