Here is Susan Brown's response about booking accommodations in Guelph. We
are welcome for the conference and workshops if we like. (I don't think
there will be any problem with our proposing workshops either.) Please see
details in her forwarded message about shuttle transit from the airport and
accommodations, and note the complexity of the different blocking rates for
different portions of the event. I think we're free to just start booking
now on our own!

Hi Elisa,
Sorry for the delayed response. I’ve had a crazy week getting ready to
leave (and am now in transit) for a 10-day trip.
We’d be thrilled to have people come for the conference and/or workshops!
And proposals from Council members are most welcome, although I’m not sure
if there is an overlap between your meetings and the first day of the
workshops on Tuesday or not.
Of course, you can book wherever you like. As I believe I mentioned,
options near the university and downtown are limited, but if people have
cars there are more possibilities. The shuttle between Guelph and Toronto
airport is rather pricey (about $CAD100 each way, though just an additional
$20 per person if multiple people are travelling together, I think) so a
rental car may be more economical.
I’ve been trying to get the block at Day’s Inn since December after our
initial exchange; hopefully we’ll get something soon, in which case I’ll
forward it on. However, what they were offering wasn’t much different from
the standard rate, so I’m not sure it will be worth waiting. In the
meantime, the Delta codes are below. They rather confusingly have room
blocks separated out for the different events, with different rates. The
TEI group block has a limited number of rooms. If anyone finds that they
are unable to book under this code or can’t get the options they want,
please let me know and I’ll see if they are willing to release additional
rooms.

I'm circling back to this with some questions from the TEI Technical
Council about arrangements for our May meeting. I know that you were
investigating blocking some rooms for our group, so here are some
questions:
- Is it generally okay for us to book our own accommodations at the
hotels you mentioned?
- Should we wait until you've got things arranged with the Delta and/or
Days Inn to book accommodations?
- We are also wondering about the two events preceding, intersecting,
and following these dates for our Council sessions. Would it be okay for
Council members come early for the LINCS Project conference
https://lincsproject.ca/events/making-links-2023/ (which starts May 5,
so maybe *arrive on May 4)?*
- And would it be okay for our TEI people to stay through the end of
DH@Guelph https://www.uoguelph.ca/arts/dhguelph/summer2023 (which runs
to May 9, so I imagine they'd want to *leave on May 10?) *Some may be
interested in proposing workshops or just being generally part of all the
DH fun.)

I just looked at a map and saw the Delta and the Days Inn are both super
close to the venue! I think either of those would be just perfect for us,
and if we're all housed at the Delta that's not a bad thing at all (just a
slightly unusual thing)! 🙂 There are some pretty decent restaurants in
walking distance too. Council should be pretty happy there!

Thanks, Susan! I don't think we need to prioritize actually housing us all
together: we're more used to finding our own spaces individually or in
small groups. I think an hour's walk is likely also to be a bit much for
the group—unless there's transit to shorten the commute to THINC. I think
most of us have booked maybe at most 20-minutes walk from the Council
meeting venue.
Maybe worth mentioning: We *do* tend to meet over long days—say, starting
at 9 or 9:30am, breaking for lunch at like 1pm, and then working as late as
5:30 or even 6pm, then exploring around for dinner. Is it okay for us to
take over the THINC lab for those unstructured lengths of time?
I think after all the *togetherness* of a long Council day, we don't
necessarily *need* to be all staying in the same place...though hotel
discounts are definitely likely to help us all with making our
arrangements!

We also know of some good air bnbs that house largish groups of people if
there’s an interest in that. All would require that someone have. A rental
car or that people would be happy to walk 45-60 minutes.

Dear Susan and Kim,
TEI Technical Council has conferred, and we gratefully accept your very
kind and practical offer to host us in Guelph. We are 12 in total, and have
settled on May 7-9th as the most convenient dates. If the THINC Lab is
available, it would be a superb space for us to meet. If not, our main need
is a room with tables, chairs, good internet and lots of plug points. A
white/chalk board would not go amiss, and windows are always nice. In other
words, a standard university meeting room or classroom will also be just
fine.
Elisa Beshero-Bondar (cc’d on this email) is the Council Chair in 2023.
I’ve offered to do the local organizing (ground transportation, hotel,
restaurant recommendations) and to liaise with you folks in Guelph.
I know that Kim has already put out feelers to the Delta hotel in Guelph.
As soon as you hear back, Kim, please send me the contact. If you arrange a
conference discount for LINCS, perhaps Council could ride your coat-tails,
if that’s not too much to ask.
I expect that some of our numbers will want to propose papers for the LINCS
conference, and others may wish to stay on for the final three days of
DH@Guelph. So your invitation will facilitate some wonderful synergies and
plenty of opportunities for TEI and linked data conversations to happen.
